Define the Project

A workable project description identifies the surface, whether it already exists, where it will go, how it will be used, and what the finished result needs to accomplish.
Start With the Surface
Begin with the physical project.
Are you building a new table, bar top, countertop, desk, vanity, or another functional surface? Or are you refinishing something already in place?

A new build gives you control over the dimensions, wood, edge profile, base, and construction. A refinishing project begins with fixed conditions. You may need to account for an existing shape, attached fixtures, seams, worn areas, old coatings, or damage.
Record the basic dimensions as early as possible. Length, width, thickness, and total surface area will affect the amount of epoxy required, the size of the workspace, the cost of the project, and whether the finished piece can be moved into position.
Existing surfaces also need an early inspection. Check whether the substrate is solid, stable, dry, and reasonably flat. Look for loose sections, deep cracks, silicone residue, moisture damage, or previous finishes that may interfere with preparation.
You do not need to solve every technical problem yet. The goal is to understand the condition and scope of the project before committing to a design or buying materials.
Decide How It Will Be Used
The intended use of the surface should influence nearly every later decision.
A decorative side table and a restaurant bar top may both receive epoxy, but they face very different demands. Consider what the surface will hold, how often it will be used, how frequently it will need cleaning, and who will interact with it.
A busy bar top may need to prioritize durability, easy maintenance, and resistance to frequent spills. A home coffee table may place more emphasis on the appearance of the wood and how the piece fits the room. A desk should remain comfortable to work at, with practical proportions and edges that do not interfere with equipment or everyday movement.
Think about how the project will function after the excitement of completing it has passed. The best result is not merely attractive on the day it is installed. It continues to suit the space and the people using it.
Account for the Final Location
Measure the area where the finished project will live, not just the surface itself.
Allow room for chairs, walking paths, doors, drawers, appliances, and nearby furniture. A table may fit within the dimensions of a room while still feeling oversized once seating and circulation space are considered.
Also plan the route from the workspace to the installation site. Large tops may not fit through narrow doors, stairwells, hallways, or basement entrances. Some projects may need removable legs, a separate base, or final assembly in the room.
For counters and bar tops, note the positions of sinks, faucets, outlets, appliances, supports, and overhangs. These details can change the required shape, construction, and installation plan.

Define What Success Looks Like
Decide which outcomes matter most before narrowing the design.
You may want to preserve the natural wood, create a dramatic decorative effect, improve resistance to spills, make an old surface easier to clean, or stay within a strict budget and schedule. Most projects involve several goals, but they do not all carry equal weight.
Choose the two or three priorities that will guide later decisions. It also helps to identify where you are willing to compromise. You may prefer a particular wood species but accept a more affordable alternative. You may like a complex pigmented design but decide that a simpler clear coat is a better fit for your experience and available time.
By the end of this stage, you should be able to describe the project in one or two sentences:
A new walnut coffee table for a family living room, finished with a clear epoxy coating that protects the wood while keeping the overall appearance natural and informal.
A clear project description gives the rest of the plan a fixed target. You can now develop an appearance that suits the surface, its intended use, and its final location.
Visualize the Finished Piece
Once the project itself is defined, decide what the finished surface should look and feel like in daily use. This stage turns a broad idea into a design specific enough to guide material choices, quantity estimates, and later preparation.
Do not evaluate the surface in isolation. Picture it in its final room, surrounded by the existing flooring, furniture, cabinetry, lighting, and colors. A design that looks impressive as a sample may feel too dark, busy, formal, or reflective once it occupies a larger space.

Decide How Prominent the Epoxy Should Be
Start by choosing the role epoxy will play in the design.
With a clear flood coat, the wood or substrate remains the main visual feature. The epoxy adds depth, protection, and a smooth finished surface without substantially changing the underlying design. This approach is usually a good fit when the material already has grain, color, or character worth preserving.
Pigments, dyes, metallic effects, decorative inlays, and river pours make the epoxy more visually prominent. These options can produce a distinctive feature piece, but they introduce more variables. You will need to consider color depth, placement, transparency, pour thickness, and how the design will appear from different viewpoints.
The choice is not simply between plain and decorative. It is between allowing the original material to lead and making the epoxy an equal—or dominant—part of the composition.
Design for the Room
Look for ways the finished piece can relate to its surroundings without matching them exactly.
That connection might come from the warmth of the wood, the color of a pigment, the metal used in the base, or the overall shape of the surface. A walnut top may complement a room with warm floors and traditional furniture. A lighter wood may suit a brighter, more restrained interior. A strongly colored river design may work best where the table is intended to command attention.
Lighting also changes how epoxy appears. A glossy surface reflects windows, lamps, ceiling fixtures, and nearby objects. In some rooms, those reflections add depth. In others, they may become more noticeable than the wood or decorative work beneath them.
Observe the room at the times of day when the surface will be used most. A finish viewed mainly under warm evening lamps may look different from the same finish in direct daylight.
Set the Dimensions and Proportions
The size and visual weight of the piece should suit both its function and its surroundings.
A thick slab can feel appropriate on a large dining table or bar top but cumbersome on a small coffee table. A wide overhang may improve seating at a bar while requiring additional support. A broad river channel may look balanced in a large table but leave too little visible wood in a smaller one.
Consider the viewpoints from which the surface will usually be seen. Coffee tables are viewed largely from above. The front edge of a bar top remains prominent at eye level. Countertops must work visually and physically with cabinets, backsplashes, sinks, and appliances.

Choose the Edge Treatment
The edge profile affects how the piece looks, feels, and wears.
A straight edge creates a clean, substantial profile. A softened or rounded edge may feel more comfortable on a table or desk. A live edge retains more of the wood’s natural character but may contain bark, voids, loose fibers, or deep irregularities that require additional preparation.
Also decide how the epoxy should meet the edge. A coating that continues over the vertical sides creates a unified appearance and makes the thickness of the finish more visible. A top-only treatment produces a different profile and may require greater control around the perimeter.
Because edges are frequently touched and often visible from across the room, they should be treated as a central design choice rather than a last-minute detail.
Confirm the Intended Thickness
Thickness affects appearance, material quantity, weight, and product selection.
A substantial top may suit a dining table or commercial bar. A thinner profile may feel more appropriate for a desk, vanity, or compact table. Even a relatively shallow flood coat can make the edge appear heavier once it wraps over the sides.
For river and deep-pour projects, epoxy depth also changes the appearance of pigments and transparent colors. A shade that looks pale in a thin sample may appear much darker when poured through a deep channel. Set the intended thickness before estimating quantities. Otherwise, the material calculation may be based on a design that is still changing.
Balance Appearance With Everyday Use
The most visually striking option is not always the best fit for the way the surface will be used.
High-gloss finishes bring out depth and color, but they may show dust, fingerprints, and fine surface marks more readily. A dramatic pigment pattern may work well on a feature table but become distracting on a desk. Sharp corners, deep live-edge recesses, and highly irregular shapes can also create maintenance or comfort issues.
Consider what the surface will regularly encounter and how much upkeep you are willing to accept. A family dining table, commercial counter, home bar, and decorative console will not all benefit from the same balance of visual impact, durability, and ease of care.
The aim is not to make the design cautious. It is to make sure the finished piece remains satisfying after it becomes part of ordinary life.
Establish a Clear Design Direction
Before buying materials, reduce the concept to a short, practical description.
For example:
A clear-coated walnut coffee table with softened edges, restrained gloss, and proportions suited to a casual family living room.
That description is specific enough to guide the next stage. It identifies the material, finish, edge treatment, visual tone, and setting without locking down every minor detail.
By contrast, a plan such as “a blue artistic table” leaves too many unresolved decisions.
With the appearance, dimensions, thickness, and edge treatment settled, the design can be translated into a specific materials list and quantity estimate.
Choose and Estimate Materials
Once the project and design are defined, you can build a materials list around the surface you are actually making. Dimensions, coating depth, substrate condition, edge treatment, and decorative choices all affect what you need to buy.
Avoid starting with a generic supply checklist. A clear-coated coffee table, refinished bar top, and river table may use some of the same supporting supplies, but their epoxy and material requirements are different.
Select the Right Epoxy for the Job
Begin with the role the epoxy will perform.
A flood-coat epoxy is intended to form a relatively thin, self-leveling finish over a prepared surface. UltraClear Bar & Table Top Epoxy is designed for table tops, bar tops, counters, desks, and similar projects where the shape and structure already exist.

Choose the epoxy category from the design and intended pour depth rather than from package size, price, or familiarity.
Confirm the Substrate
Before estimating epoxy, confirm what it will be applied to.
The substrate may be solid wood, plywood, an existing countertop, laminate, or another rigid surface. Whatever the material, it should be structurally sound, stable, dry, and appropriate for the intended use.
Existing surfaces may contain old coatings, wax, oil, silicone, cleaning residue, loose sections, or moisture damage. These conditions do not necessarily rule out the project, but they may change the preparation required and should be identified before materials are ordered.
For a new build, allow for material that may be lost during flattening, trimming, jointing, or final shaping. Live-edge slabs and river-table components often need more raw material than the finished dimensions suggest.
Use dimensions that are close to final before calculating epoxy quantities. Estimates based on an unfinished or still-changing surface can become inaccurate quickly.

Measure the Surface and Pour Depth
For a flat rectangular surface, record the finished length and width. If the epoxy will continue over the vertical edges, include those areas as well.
Irregular tops can be divided into smaller measurable sections or estimated with the help of a full-size template. For river channels, molds, cracks, and large voids, measure depth at several points rather than assuming it is uniform.
Live edges and natural voids often change shape along the length of a slab. One measurement taken at the widest or deepest point may overstate the total volume, while one taken at a narrow point may leave you short.

Include a Reasonable Material Allowance
The theoretical volume of a project is not always the same as the amount that must be purchased.
Some epoxy remains in mixing containers and on tools. Additional material may be needed for porous areas, edge coverage, small voids, test samples, or minor corrections. Irregular live-edge work usually carries more uncertainty than a simple rectangular flood coat.
Add a practical allowance rather than ordering the exact calculated amount. The goal is to account for normal loss and uncertainty, not to replace careful measurement with a large surplus.
Break the estimate into separate uses where possible:
- sealing porous areas
- filling cracks and voids
- completing the main pour or flood coat
- coating vertical edges
- providing a modest contingency
This makes it easier to see which part of the estimate is firm and which part depends on the condition of the surface.
Plan for Cracks, Voids, and Porous Areas
Inspect the substrate for places that may consume material before the main coating begins.
Knots, checks, seams, deep cracks, live edges, and porous end grain can affect the total quantity required. A slab with several hidden or irregular voids may need noticeably more epoxy than its flat surface area suggests.
Record these areas and estimate them separately when they are large enough to matter. Small defects do not require perfect calculations, but they should not be ignored.

Choose Decorative Materials Deliberately
Pigments and decorative additions should follow the design established in the previous section.
Choose dyes, pigments, metallic powders, flakes, inlays, or embedded materials only when you know the intended color, depth, and overall effect. A pigment that looks subtle in a thin sample may appear much darker in a deep pour, while transparent colors may change depending on the wood and lighting around them.
Where consistency matters, purchase enough colorant from the same batch for the full project. Recreating a custom mixture halfway through the work can produce visible variation.
Embedded materials should also be clean, dry, stable, and suitable for the planned construction. Their size, thickness, trapped air, and tendency to float may affect both the design and the amount of epoxy required.
Account for Consumable Supplies
Include disposable supplies that will be used during preparation, application, finishing, and cleanup. Depending on the project, these may include mixing containers, stir sticks, nitrile gloves, tape, plastic sheeting, applicators, sandpaper, shop towels, and cleaning materials.

Match the Estimate to Available Package Sizes
Once you know the approximate quantity, compare it with the package sizes available for the selected epoxy system.
Do not look only for the smallest kit that exceeds the main surface calculation. Account for seal coats, cracks, edges, test samples, and the contingency already included in the plan.
For projects completed in stages, consider whether the package format makes it practical to measure smaller batches accurately. Also check the storage requirements for any unused material.
Record how each portion of the epoxy will be used rather than keeping only a single total. That breakdown will make later scheduling and budgeting more reliable.
Review the Complete Materials List
Before placing the order, organize the list into a few clear groups:
- substrate and construction materials
- epoxy products
- pigments or decorative additions
- materials for sealing and filling
- consumable supplies
- reusable tools to obtain
Every item should connect to a known part of the project. If a product has no clear purpose, reconsider whether it belongs in the order.
Your materials plan should now identify the epoxy system, expected quantity, supporting materials, and areas of uncertainty. Before ordering or beginning the work, confirm that the available workspace can support every stage through cure.
Prepare the Workspace
A suitable workspace must support the project from preparation through cure. Before opening any materials, confirm that the area provides enough room, stable conditions, good lighting, and protection from dust, traffic, and accidental contact.
A garage, basement, or home workshop can all work. The important question is not what the room is called, but whether it can remain suitable for the entire project.

Allow Room to Work From Every Side
Set the surface on stable supports at a comfortable height, with enough clearance to reach each edge.
A table pushed against a wall may save space, but it can make the back edge difficult to coat or inspect. Leave room to move around the project without brushing against it, stepping over cords, or carrying mixed epoxy through a narrow path.
Check the route into and out of the workspace as well. A large top may fit comfortably in the garage but become difficult to move once a base, legs, or additional weight have been added.
Set up the supports early and confirm that they do not rock or shift. Use a level rather than assuming the floor or workbench is flat.
Protect the Work Area
Cover the floor beneath the project and the nearby mixing area. Extend the protection far enough to catch drips from edges, tools, gloves, and containers being carried between the bench and the surface.
Secure loose plastic so it does not become a tripping hazard. Remove nearby belongings that would be difficult to clean, especially fabrics, cardboard boxes, and stored household items.
Decide where used gloves, mixing cups, stir sticks, and other disposable materials will go. A lined waste container placed nearby is more practical than one across the room once the work begins.
The goal is not to cover every surface in the garage. It is to protect the areas most likely to come into contact with uncured epoxy.
Confirm the Temperature and Humidity
Epoxy flows and cures best within the conditions specified by the manufacturer. Measure the temperature and humidity where the project will sit rather than relying on the conditions elsewhere in the house or on the outdoor forecast.
Garages and basements can change considerably between day and night. A room that is suitable during the afternoon may become too cold or humid later, while the epoxy is still curing.
Plan for the full cure period, not only the hours spent applying the coating. Test any heater, air conditioner, or dehumidifier in advance and make sure it can maintain suitable conditions without directing strong airflow across the surface.
Control Dust and Traffic
The workspace does not need to be spotless, but it should be free from active dust and debris.
Finish sanding, sweeping, cutting, and other dusty work before the coating stage. Vacuum the room and allow airborne particles time to settle. Sweeping immediately before a pour can make the problem worse by lifting fine dust back into the air.
Consider what may disturb the room after it has been cleaned. Opening the garage door, running another woodworking tool nearby, moving stored items, or allowing frequent foot traffic can introduce new debris.
Pets and children should also be kept away from the project while the surface remains vulnerable.
Set Up Adequate Lighting
You should be able to inspect the entire surface, including the edges, without relying on one overhead fixture.
Strong glare can hide missed areas and surface defects, while poor side lighting makes edges difficult to judge. Add portable lights where needed and position them before the project begins.
Test the lighting from the angles you will actually use while working. The setup does not need to resemble a studio; it only needs to make the full surface easy to inspect.
Plan Ventilation Carefully
Follow the ventilation and protective-equipment guidance provided for the epoxy and any cleaners, solvents, pigments, or finishing products used with it.
Ventilation should improve air exchange without sending dust, insects, or outdoor debris across the project. Fans aimed directly at the surface can create unnecessary problems, as can leaving garage doors or windows open without considering the conditions outside.
Room ventilation and personal protective equipment serve different purposes. One should not be treated as a substitute for the other.

Reserve the Space Until the Project Is Ready to Move
The workspace may remain occupied long after the coating has been applied.
The project may need to stay level, protected, and untouched through curing, sanding, finishing, or assembly. During that time, the garage may not be available for a vehicle, the workbench may remain out of use, and other dusty work may need to stop.
Before committing to the space, ask whether the project can remain there without being moved or disturbed. Consider doors, stored equipment, household routines, pets, and anyone who may need to pass close to the surface.
A coating that feels firm is not necessarily ready for handling or installation. Reserve the space for the full schedule rather than the earliest possible cure estimate.
Test the Setup Before You Begin
Arrange the supports, floor protection, lighting, waste container, power cords, and climate-control equipment before opening the epoxy.
Walk around the project and confirm that every edge is accessible. Check that the surface remains level, the path from the mixing area is clear, and the room conditions remain stable over several hours.
A brief trial of the workspace can reveal problems that are easy to correct before materials are mixed.
Once the project has a stable, protected, and well-lit place to remain, you can equip that space with the tools and supplies required for the work.
Gather Tools and Supplies
Once the workspace is ready, gather everything needed before opening the epoxy. A missing cup, brush, or pair of gloves can become a serious problem once the working time has begun.
Keep this list separate from the project materials. Epoxy, wood, pigments, and inlays become part of the finished piece. Tools and supporting supplies help you measure, mix, apply, inspect, protect, and clean up the work.

Separate Tools From Consumables
Divide the list into reusable tools and items that will be used up.
Reusable tools may include:
- a drill and mixing attachment
- levels and measuring tools
- portable work lights
- sanding equipment
- a shop vacuum
- extension cords
- an approved bubble-removal tool
Consumables may include:
- mixing containers
- stir sticks
- nitrile gloves
- painter’s tape
- plastic sheeting
- spreaders or disposable brushes
- sandpaper
- shop towels and cleaning supplies
This distinction makes the working list easier to organize. Reusable tools should be checked, tested, and placed in the workspace, while consumables should be stocked in enough quantity for every planned work session.
Match the Mixing Equipment to the Product
Use measuring equipment that suits the ratio and method specified by the epoxy manufacturer.
Depending on the product, that may mean graduated containers, pumps, separate measuring cups, or a scale. The markings should be easy to read, and the container should leave enough room for thorough mixing without spilling.
Choose cups or buckets with smooth interiors that are easy to scrape along the sides and bottom. Avoid containers with deep ridges or narrow corners where unmixed material can collect.
Small batches may be mixed by hand. Larger batches may call for a drill-mounted mixer when the product instructions allow it. The drill should operate smoothly at a low speed rather than whipping excess air into the mixture.
Have enough clean containers for each planned batch, seal coat, fill, or color. Reusing a cup that contains partly cured or pigmented epoxy can affect the next mix.
Choose Application Tools for the Surface
Select application tools according to the project’s size and shape.
A spreader or suitable squeegee can help distribute a flood coat across a flat surface. Disposable brushes may be useful around edges, corners, cutouts, and other areas that are harder to reach.
Avoid buying a large assortment without knowing where each item will be used. A small table may need only a spreader and a few brushes. A long bar top may require wider tools and possibly another person to help complete the work within the available working time.
Inspect disposable tools before use. Loose bristles, lint, dust, and damaged edges can end up in the finish. Keep a clean replacement nearby for any applicator that would be difficult to replace midway through the job.
Include Setup and Inspection Tools
A self-leveling coating still needs a stable, level surface.
Keep an appropriate level on hand and check the project in more than one direction. The supports should not rock, and they should allow small adjustments if the floor is uneven.
Lighting also matters. Portable work lights can make edges, dust, bubbles, and missed areas easier to see than overhead lighting alone. Position them before work begins so you do not have to move cords or fixtures around wet epoxy.
Some applications also call for a heat gun, torch, or another approved method of releasing surface bubbles. Include one only when it is suitable for the chosen product and method.
Prepare Protective Equipment
Follow the manufacturer’s guidance for epoxy, pigments, cleaners, solvents, and any finishing products used with them.
The basic protective equipment may include:
- nitrile gloves
- eye protection
- protective clothing
- closed-toe footwear
- a suitable respirator when required
Keep several pairs of gloves within reach. They may tear, become contaminated, or need to be changed before touching clean tools, switches, or door handles.
Do not use kitchen utensils, food containers, or household tools that may later return to ordinary use. Keep workshop equipment separate.
Plan Cleanup Before Starting
Set out cleanup and disposal supplies before any epoxy is mixed.
You may need shop towels, disposable wipes, spare gloves, lined waste bags, approved cleaning materials, and a designated place for used containers and tools.
Check the product instructions before deciding how uncured material, contaminated wipes, and leftovers will be handled. Do not assume they can be washed into a household drain or discarded without preparation.
Keep clean and contaminated items separate. A towel or tool that has touched uncured epoxy should not later be used on the finished surface.
Test Equipment Ahead of Time
Check drills, lights, cords, batteries, levels, and mixing attachments before the day of the pour.
A tool can work and still be poorly suited to the job. A drill may be difficult to control at low speed, a cup may be too small, or a lamp may create glare rather than improve visibility.
When a tool or mixing setup is unfamiliar, test it with water first. This can expose problems without wasting epoxy or shortening the time available during the real application.
Arrange the tools in the order they will be used: measuring, mixing, carrying, spreading, inspection, and cleanup. A simple layout reduces unnecessary movement once the work begins.
Decide What to Buy or Borrow
You may already own many of the reusable tools. Drills, levels, work lights, sanders, and shop vacuums can also be practical to borrow.
Specialized items are worth buying when they improve accuracy, safety, cleanliness, or control—or when you expect to use them again.
Substitutions should perform the same job reliably. A household container may resemble a mixing cup but lack accurate markings. A makeshift spreader may shed material or leave uneven coverage.
Saving money is useful only when the substitute does not increase the risk of wasted epoxy or a poor result.
Every tool and supply should now have a clear purpose, be ready for use, and have an assigned place in the workspace. The remaining stages can then be arranged into a schedule that reflects both active work and waiting time.
Build a Realistic Schedule
An epoxy project rarely fits into one work session. Preparation, repairs, coating, curing, sanding, finishing, and installation may all happen on different days. Plan for the entire project, not just the pour.
Use the manufacturer’s instructions for working, recoating, handling, and cure times. Then add enough room for preparation and ordinary delays.
Break the Project Into Stages
List the major stages before assigning dates. Depending on the project, these may include:
- final measurements and design checks
- construction or surface repairs
- sanding and cleaning
- workspace preparation
- sealing porous areas
- filling cracks or voids
- applying the main coat or pour
- curing
- sanding, polishing, or edge cleanup
- assembly and installation
A simple flood coat may require only a few stages. A river table, damaged counter, or cracked slab may need several rounds of filling, curing, and sanding.
Writing each stage separately makes waiting periods easier to see and prevents too much work from being packed into one day.
Work Backward From the Deadline
When the project must be ready by a certain date, begin with the day it needs to be installed or used and work backward.
Do not treat the earliest cure time as the completion date. A surface may feel firm before it is ready to sand, lift, transport, assemble, or place into normal use.
